NEWSLETTER AND WEB SITE POLICIES

  As stated in the Constitution of the St Ann Communications Commission, the purpose of this Commission is "to communicate through written and oral words any spiritual and temporal matters which may be of interest to our parish family and to the community".  To help accomplish this purpose a monthly newsletter is published and a web site has been established.  We welcome any group or organization who wishes to publish their notices or articles to submit them for possible inclusion.  Because of space, it is necessary , however to establish certain policies.  These are as follows:

Newsletter Policy

  1. Any items 1/2 of an 8-1/2x11 page or less, typewritten or clearly written or emailed will be accepted for consideration for publication.

  2. Full pages for special events or matters of special importance will be accepted occasionally.

  3. St Ann Communications Commission reserves the right to refuse or to edit any items submitted and their location.

  4. Submit your item via email to infor@saintannparish.org or on 3.5 diskette, ASCI or Word format.  If you do not have a computer available for forwarding your item, submit it at the rectory.  Any clip art, picture or special drawing you want considered for use must be submitted with the article.

  5. Any item for publication must be turned in at the rectory before noon on the deadline date which is published in the preceding monthly Newsletter and the Sunday bulletin.

Web Site Policy

  1. Our currently monthly newsletter will be available on line.

  2. An archive of old newsletters will be kept as long as space allows.

  3. Special events or matters of special importance will be accepted occasionally. (We need to know a post date and a remove date.)

  4. Submit your item via e-mail to info@saintannparish.org or on a 3.5 diskette ASCI or Word format.  If you do not have a computer available for forwarding your item, submit it at the rectory.  Any clip art, picture or special drawing you want considered for use must be submitted with the article.

  5. All art work should be under 50k in file size.

  6. Allow one week for posting your item on the web site.

  7. We will not publish addresses or phone numbers on the web site unless requested by the individuals.

  8. Children's names and photos should not appear together.  A photo without a name is OK.

  9. St Ann Communications Commission reserves the right to refuse or to edit any items submitted and their location.

TIME FRAME FOR PROCESSING NEWSLETTER

All items for upcoming newsletter due by first of month preceding the month the article is to appear, i.e. June 1 to be in July newsletter, July 1 for August newsletter, etc.

Information is given to person who inputs the data the weekend before the first Tuesday of the month and it is worked on at her home.

Volunteer newsletter person comes to the rectory the first Tuesday of each month to get into the rectory computer all that she has worked on at home, and adds anything that has come to the rectory since the original material was given to her.

Newsletter editor the next day inputs Fr. Tom's article and the address page, edits the complete newsletter and makes necessary changes.

Newsletter is then transmitted to Columbus.

It takes up to 5 working days for Diocesan Publications to produce the finished copy (and there is a weekend in there so that brings it to the next week).

It takes up to 2 days for it to be delivered from Columbus, usually arriving on Thursday.

The following Monday a good sized group of ladies comes to the rectory to fold, seal, put on labels, and prepare for mailing.

The next day (Tuesday), a male volunteer comes to rectory, picks up mailing and takes it to the Dalton Street Post Office.

It can take up to ten days for a newsletter to be delivered. The Post Office has informed us that the carrier can wait to deliver this kind of mail for a day when he has an otherwise light load - if he wishes - but it should be delivered within ten days.

The goal is to mail the newsletter so that it arrives before the first of the month so that they have the information before the month begins.

This whole process can take up to a month, and we need to allow some days in between for glitches.
